Planning a Children's Party

Before the party

2 months before

Think about the theme and venue for your party and how many children that you want to invite. When you have this in mind consider your budget and whether your plan is feasible. You might also want to consider the time of year and whether you can make use of outdoor space. If you are planning on hosting a party outside consider a plan b if the weather forecast changes. Can you use an indoor space or erect a covered area. If you need to book any party entertainment, book a venue or hire equipment like bouncy castles ring up and check if they are available.

Start to plan the food for your party and what the cake will look like. If you are ordering a cake, you'll need to contact a baker well in advance.

Send out the Invites

Send out your invites well in advance of your party and make sure you include the following:

  • The date & time
  • The address of the party
  • Directions and parking instructions
  • What time does the party finish?
  • Include an email address & a contact number for RSVPs
  • Any instructions that are needed, such as the theme and what to wear.

2 Weeks before

Follow up on RSVP's and confirm how many children are coming and if they have any special dietary requirements. Plan the day and what games or entertainment you want to have and think about the order of the day. Check that you have a working music player and start to buy or make your decorations and prizes. You'll also need to consider if you need any extra people to help at the party, 2 or 3 pairs of hands for most parties should be sufficient. You can ask a friendly parent who wants to stay or your relatives.

On the Day of the Party

You'll need to be organised well in advanced and try and prepare as much as you can in the two or three days leading up to your party. Things like party bags and some food can be organised in the days leading up to the party. As soon as you have access to your venue make sure it is clean and reorganise any furniture and power cables. You'll then need to blow up any balloons and decorate the venue, take some sticky tape, blue-tack and scissors with you. Depending on your plan and the space available, you might want to lay out the food for the plates and drinks for the party. Before the first guests arrive make sure you are changed, organised and ready to receive them and have some music playing to put them at ease.
